Aga Khan University invites application for the position of Senior Coordinator in the Office of the Vice Provost, Students.

Responsibilities:

Senior Coordinator to the VP Students provides high-level administrative support, to ensure the smooth operation of the office. Key responsibilities include but are not limited to managing schedules, communication, and administrative tasks; coordinating meetings, travel, and correspondence; handling sensitive matters with confidentiality; maintaining files and records; and reviewing and reconciling expense reports and budgets. This role requires exceptional organizational skills, attention to detail, and discretion.

The Senior Coordinator to the VP Students oversees day-to-day activities, and coordinates with various units and departments. Must be highly motivated, task-oriented, reliable, professional, capable of managing a complex workload, and able to prioritize tasks in a fast-paced office environment. 

You will be responsible for:

  • managing the VP Students calendar, setting and minuting meetings, issuing calendar invites, and coordinating schedules. This is a complex calendar involving multiple time zones across the globe
  • arranging national and international travel, accommodation, and transport for the VP Students, students, and staff
  • taking a lead in managing and ordering office supplies, booking venues, arranging video / audio conference calls, catering orders, transportation bookings, and help with multimedia presentations during meetings, as well as other support when required
  • managing all administrative affairs for the Office of the VP Students, to ensure timely task completion
  • developing, implementing and maintaining electronic and physical filing systems, to ensure efficient document retrieval
  • preparing high-level reports and presentations (i.e Academic Council, Board of Trustees), drafting letters, memorandums, and email messages on behalf of the VP Students
  • reviewing and reconciling expense reports and budgets, prepare financial summaries for the VP students, and ensure effective financial management
  • performing various administrative duties, which are highly sensitive and confidential
  • liaising with other departments for timely issue resolution.

Additional tasks may include:

  • handling special projects or assignments as the VP Students directs, to demonstrate flexibility and adaptability
  • facilitating effective communication and coordination with external stakeholders, including partners, donors, and government agencies, to build and maintain relationships and advance the goals of the Office of the VP Students.

Requirements:

You should have:

  • atleast Masters degree in relevant field from HEC recognized or reputable foreign university/institution
  • a minimum of 3-5 years of experience 
  • advanced writing and verbal communication skills
  • executive-level administrative support experience
  • strong proficiency with Office software (MS Office Suite)
  • demonstrated office management, administration, and coordination experience
  • excellent organizational and time-management skills
  • professionalism and confidentiality.
