Company Secretariat is seeking a motivated and a dynamic individual to assist the Company Secretary in the day-to-day secretarial functions
Faculty Title:
Junior Management Position – Company Secretariat
KEY RESPONSIBILITIES:
- Preparing agendas and papers for board meetings, committees, and annual general meetings (AGMs) and follow up on action points
- Convening and servicing AGMs, drafting minutes, resolutions, and lodging required forms and annual returns with appropriate departments
- Ensuring policies, regulatory, or statutory changes that might affect the organization are up to date and approved
- Ensuring that the company complies with all a pplicable codes, in addition to its legal and statutory requirements
- Maintaining statutory books, including registers of members, directors, and secretaries
- Handling correspondence, collate information, writing financial reports and communicating decisions to relevant company stakeholders
- Liaising with external regulators and advisers such as lawyers and internal/external auditors
- Filing st atutory forms in accordance with Companies Regulations,
- 2024 with SECP within prescrib ed period
- Timely and accurate reporting of all items to PSX through PUCARs as per requirements of PSX Rule Book and in accordance with correspondence manual
- Planning and managing Board’s budget, monitoring actual expenses against Budget and ensuring recording of monthly accruals
EDUCATION:
- Minimum 16 years of education preferably masters from a renowned HEC recognized university or institution / equivalent foreign degree holder, preferably in the discipline of Accountancy & Finance/ Business and Management Sciences/ Law/Certified in Accounting & Finance (CAF) would b e an added advantage.
EXPERIENCE:
- Minimum 3-4 years of professional experience, preferably in a large national/multinational organization with at least 1-2 years of related functional experience in a similar role at a senior equivalent position or one position below
REQUIREMENTS:
- Excellent communication and interpersonal skills, with the ability to liaise effectively with senior management, board members, and external stakeholders.
- Ability to identify legal and regulatory issues, assess risks, and propose practical solutions.
- Detail-oriented with strong organizational skills, capable of managing multiple priorities and deadlines effectively.
- Proficient user of MS Office along with adequate level of IT literacy.
- Discretion when handling confidential information.
- Maintain a diplomatic approach towards issues.
- Excellent organization and time management.
AGE:
- The candidate should b e preferably not more than 33 years of age as of the last date of submission of application.
