Institute of Business Administration (IBA) invites applications for Executive Administration – CEIF in Karachi, Pakistan

The incumbent will be responsible for providing all administrative support and follow-up support to IBA CEIFs open and client-specific programs. He/she will not only liaise with the trainers in developing and delivering programs as per the plan but also work closely with the Senior Programme Manager CEIF in different projects.

MAIN DUTIES & RESPONSIBILITIES:

  • Coordinate executive communications, including taking calls and responding to emails.
  • Responsible for preparing all the logistics of each workshop and event to its minute details.
  • Responsible for supporting in each step of the workshop till its feedback and satisfactory closure.
  • Provides wide range of complex office administration and support to Senior manager/trainer.
  • Maintaining the current filing and database system and looking for ways to improve current systems.
  • Implements and administers departmental office systems and procedures.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Filing and retrieving corporate records, documents, and reports.
  • Provide general administrative support.
  • Supporting in the coverage of CEIF’s seminars, conferences, webinars, and other events in mainstream media, including social media.
  • Coordinating with trainers for workshop delivery, material, and other related activities.
  • Ensuring through personal visits readiness of classrooms for sessions, with particular focus on cleanliness, air-conditioning, audio-visual equipment, catering arrangements and any special facilities requested by trainers.
  • Responsible for running workshop readiness checklist.
  • Assisting with the scheduling of sessions and notifying all relevant parties – trainers, program participants and IBA’s departments – for seamless delivery of the programs.
  • Responding to clients’ requests for information in a timely manner as well as following up on them.
  • Maintaining updated curriculum database and training records.
  • Arranging office supplies from IBA Stores for CEIF’s smooth functioning.
  • Any other job which is not listed above but would emerge during business growth.

QUALIFICATION & EXPERIENCE:

  • The incumbent shall have at least bachelors degree preferably in a relevant field from an HEC recognized university/institute.
  • Preferably 2 years of experience.

KNOWLEDGE & COMPETENCIES:

  • Proficiency in MS Office
